Facilities Coordinator

Due to their current expansion, our client is looking to recruit a Helpdesk Coordinator to join their facilities team.  The department is focused on providing a first class customer service experience, and experience of working on a Facilities Helpdesk or similar is a must for this position.

Role responsibilities but not limited to:

  • To work within the helpdesk team responding to emails and answering phone calls
  • Build relationships with clients and be point of contact for day-to-day reactive works
  • Liaising with internal teams to ensure works are planned in to meet client demands
  • Coordinate quoted works and action as necessary with relevant departments
  • Processing orders and managing in-house and external contractor’s workload and performance
  • General administrative duties as and when required
  • Assist in calculating budgets, margin and timescales for the estimator
  • To take ownership of allocated accounts, providing regular updates and preparing weekly/monthly reports
  • Ability to meet deadlines and work in a very fast paced environment
  • Effectively prioritise workload especially when under pressure
  • Ability to build strong relationships with contractors and colleagues
  • Effectively handle complaints

Essential skills and experience

  • Excellent phone manner
  • Proactive customer interaction
  • Good written and communication skills – Minimum GCSE (C or above) in English
  • Good numerical skills – Minimum GCSE C or above in Maths
  • Good IT skills – especially Microsoft Excel, Outlook & Word
  • Good organisational skills
  • Team player – willing to learn new skills and adapt to the business needs
  • Punctual, reliable and ambitious
  • Basic knowledge of the geographical locations of major UK cities
  • Minimum 2 years operations coordination experience within Facilities Management/property maintenance
